Quotation Covering Letters

Featured Replies

Right, i know there's a few self employed on here and i could do with some advice. Putting a few quotes in to some companies in my area for garden and grounds maintenance. I've been struggling writing the covering letters. What do i need in there. Keep it sweet and simple or kiss arse?

KISS

Tell them what you can do, offer a good discount for the first job, ie at cost if necessary and then add a little to the monthly charges to compensate yourself.

Not self employed but do bid work, or atleast used to. Layout I would go for....

If its unsolicited and not expected....

Explanation of why your sending them the letter. Win themes /ghosting. We believe this would be attractive to you because....

Explanation of what price your supplying and what it covers

Price

Closing remark that you look forward to discussing it further.

If they are expecting the letter....

Refer to previous discussion or letter. Date time who

Explanation on how you've addressed there needs per that conversation

Explanation of what price is and what it covers

Price

Closing remark . As discussions already been held your at a position to go firm and be close to confirming arrangements

Also what kind of documentation are you providing?

I'd make space available for commercial conditions your on. Ideally on the back of the covering letter. Things such as how long your price is valid for. Warranty if applicable. Contact details. Reference details.

I've followed Eavesy's template and stuck abit of arse kissing in there and its looking miles better than the drivel i originally wrote. Good job you mentioned the terms of contract because it hadn't even crossed my mind.

Cheers for the help.

you did say garden and grounds maintenance ?

are you poaching work on someone else's turf ?

maybe you could do the first job for free as a sample or just trim a bit off the price. nothing mower, nothing less

 Wondered how long it would take.

I hate this side of business, i prefer to walk in and speak in person. Two of these companies are big bastards so i'm trying to do things properly. Ive mentioned in the cover letters to these companies i'd do the first months maintenance on a trail basis with a 50% discount. 2 Days work on half pay basically.

just under cut them

best actually to hedge your bets

You should probably chop some off your price to get some mow work

This is the best part wanderer! Give us a shout if your up to anything else like exec summaries or proposals. Happy to do anything foc.

Good luck.

You'll possibly find door knocking would be a good idea too.
